About the role
Buller Health is seeking an experienced and people-focused Business & Administration Manager to lead the Integrated Administration Team in the Northern region. This role has shared accountability for delivering effective, efficient and patient-centred administration services that support access to primary care and respond to the changing needs of the service.

As the Manager of the Administration Team, you will welcome service users and the community into our facilities, guide integration across reception, administration and telephonic services, and lead quality improvement activity to ensure timely access to primary care. You will ensure primary care data, including waiting times, patient volumes and DNAs, is accurately captured, reported and acted upon in line with service requirements.

You will work closely with clinical and operational leaders to identify constraints, develop solutions and create sustainable systems that enable the Integrated Administration Team to perform at a high level and enhance the patient and whānau experience.

Key responsibilities include:
• Leading and managing the administration team and team culture to support high performance and engagement
• Managing workloads and resources to maintain patient flow and meet service and operational plans
• Embedding a strong consumer focus and ensuring incidents and consumer feedback are responded to and actioned in a timely manner
• Contributing to system and process improvements to enhance service delivery, data integrity and alignment with administrative best practice
• Monitoring and reporting on performance against key metrics, quality standards and process documentation and driving continuous improvement
• Providing administrative input into operational planning, reporting and model of care efficiencies
• Managing departmental purchasing and office supplies and supporting facilities-related activity
• Ensuring financial transactions are completed in line with established processes and supporting patients to manage their accounts
• Participating in project activity to support timely, quality and cost-effective delivery
• Working collaboratively with peers across Integrated Health Services and Coastwide colleagues as directed by the Operations Manager

About you
You are an experienced people leader with a strong customer focus and a collaborative, solution-oriented approach. You are confident leading teams through change, managing competing priorities and using data to inform decisions and improvements.

You will bring:
• At least three years’ experience leading and managing teams
• Exceptional customer service focus and commitment to positive patient and whānau experiences
• High level of diplomacy and interpersonal skill, with the ability to negotiate and influence in sensitive situations
• Excellent written and verbal communication skills
• Demonstrated experience leading successful improvement initiatives
• Experience managing data and a variety of information systems
• A relevant qualification in business or leadership
• Health sector experience is desirable but not essential
