About the role
In this vital role, you will provide high-quality secretarial and administrative support to the Medical Staffing Unit, contributing directly to the smooth and efficient placement of locum and visiting medical staff across our region.
As part of the Administration and Clerical Pay Equity Claim settlement this role has been mapped to National Band 3/Profile 3

Key Responsibilities
- Book travel and accommodation in line with internal policies.
- Support day-to-day administration and reporting tasks.
- Manage IT access requests and process invoices.
- Maintain electronic records of medical staff certifications and insurance.
- Assist in the dissemination and coordination of rosters.
- Communicate effectively with agencies, locums, and specialists.
- Ensure all documentation for locum appointments is complete, including reference checks, H&S forms, and vehicle bookings.
- Review and process locum claims accurately and on time.
- Provide administrative support for team meetings.
- Participate in continuous quality improvement and uphold Health & Safety standards.
About you
Essential:
- 2–3 years’ experience in administration, preferably in a healthcare setting.
- Relevant qualifications in office administration.
- Excellent attention to detail and organisational skills.
- Proven ability to meet deadlines and work under pressure.
- Strong communication and interpersonal skills.
- Advanced computer literacy.
- Familiarity with Health & Safety practices and commitment to continuous improvement.
- Understanding of the current healthcare landscape and direction of Te Whatu Ora – Health New Zealand.
Desirable:
- Experience with rostering and/or recruitment processes.
- Ability to work additional hours if required.
- Creative problem-solving and lateral thinking.
- A growth mindset and commitment to learning.
