We are seeking an experienced and motivated Administration Supervisor to join our Radiology Service. This is a key leadership role supporting the Administration Team Leader to ensure the efficient, effective, and patient-centred delivery of administrative services across Radiology. This is a newly established position, created to support ongoing growth and increasing demand across the service, with a specific focus on overseeing the high-technology booking teams for CT and MRI.

About the Role

As the Administration Supervisor, you will provide day-to-day operational leadership to the Radiology Administration team. You will ensure workflows run smoothly, staff are supported and developed, and high standards of service delivery are consistently achieved.

You will play a vital role in coordinating administrative functions, supporting patient flow, and contributing to continuous improvement across the service. The role also functions as the Administration team’s 2IC, with responsibility to act as Team Leader as required, providing leadership coverage and support across the wider administration function. In the context of a growing service, you will help strengthen systems, processes, and team capability to meet increasing demand.

Key Responsibilities

Operational Management

  • Ensure Radiology administrative services operate efficiently and in line with policies and procedures
  • Coordinate daily workflows and act as the escalation point for administrative issues
  • Provide direct oversight of CT and MRI booking teams, ensuring effective management of complex scheduling, prioritisation, and capacity
  • Prepare staff rosters and support payroll processes
  • Organise team meetings and ensure effective communication across modalities
  • Manage supplies and ensure equipment is maintained and operational

Service Delivery

  • Champion a patient-centred approach across all administrative activities
  • Support accurate booking, scheduling, and registration processes, with a focus on high-complexity CT and MRI workflows
  • Work closely with clinical teams to ensure smooth patient flow, particularly for time-critical and specialised imaging
  • Monitor workload, waiting lists, and data quality, escalating risks as needed
  • Maintain confidentiality, privacy, and information security standards

Leadership & Team Development

  • Provide strong, positive leadership and act as a role model for the team
  • Support recruitment, onboarding, training, and ongoing staff development
  • Assist with performance appraisals and identify training needs
  • Act as Administration Team Leader as required, providing day-to-day leadership, decision-making, and escalation support
  • Foster a collaborative, inclusive, and high-performing team environment

Training & Continuous Improvement

  • Support development of training materials and local procedures
  • Ensure staff are trained and aligned with service objectives
  • Contribute to service improvements and problem-solving initiatives

Health, Safety & Compliance

  • Support a safe and healthy workplace environment
  • Ensure compliance with organisational policies and procedures
  • Coordinate responses to service disruptions or major incidents if required

About You

Essential:

  • Proven ability to work under pressure and manage competing priorities
  • Strong organisational skills and ability to prioritise effectively
  • Excellent communication skills and ability to engage with a wide range of stakeholders
  • Initiative and ability to work both independently and as part of a team
  • Flexible, adaptable, and solutions-focused approach
  • Understanding of Te Tiriti o Waitangi and commitment to equitable health outcomes
  • Demonstrated professionalism, integrity, and accountability

Desirable:

  • Experience in rostering, scheduling, or service coordination
  • Experience within Radiology or a large healthcare environment
  • Leadership or supervisory experience, including acting or deputising in a 2IC capacity
  • Experience working in multidisciplinary teams
  • Ability to lead change, support staff development, and contribute to continuous improvement
